Information We Collect

The information MEFTii processes depends on the products and services being used. It may include:

• Student information, including names, identifiers, enrollment information, attendance information, schedules, and other information provided or authorized by a school or district.
• Parent and guardian contact information.
• School and district employee information.
• Visitor and Check-In information.
• Emergency response, safety, accountability, and reunification information.
• Communications sent or received through MEFTii services.
• Vehicle, carpool, transportation, or authorized pickup information when applicable.
• Account and authentication information.
• Device, browser, application, and system information necessary to operate and secure our services.
• Information submitted through meftii.com, including contact requests, demo requests, and other communications.

MEFTii only seeks to collect and process information reasonably necessary to provide, secure, support, and improve the services authorized by our customers.

How We Receive Information

MEFTii may receive information directly from schools and districts, authorized administrators and users, students, parents or guardians, visitors, district information systems, approved integrations, and individuals using our website or services. Schools and districts determine which MEFTii services they use and what information is provided or made available to those services.

How We Use Information

• Provide contracted services to schools and districts.
• Support district safety and emergency-response operations.
• Manage attendance and student accountability.
• Facilitate Check-In and authorized visitor processes.
• Support communications among authorized users.
• Facilitate carpool, movement, reunification, and other district operations.
• Authenticate users and administer accounts.
• Provide technical and customer support.
• Protect the security, availability, and integrity of MEFTii systems.
• Maintain, troubleshoot, and improve MEFTii services.
• Meet contractual and legal obligations.

MEFTii does not sell student personal information. MEFTii does not use student personal information for targeted advertising. MEFTii does not create commercial advertising profiles using student personal information.

Student Information and FERPA

When MEFTii receives education records from a school or district subject to the Family Educational Rights and Privacy Act ("FERPA"), MEFTii processes that information on behalf of and under the direction of the educational agency or institution. Where applicable, MEFTii may perform services as a "school official" under FERPA pursuant to its agreement with the school or district and applicable FERPA requirements. MEFTii uses personally identifiable information from education records only for authorized purposes and does not use education records for unrelated commercial purposes.

Children's Privacy and COPPA

Some MEFTii services may process information concerning children under the age of 13 in connection with services provided to schools and school districts. Where permitted by the Children's Online Privacy Protection Act ("COPPA"), a school or district may authorize the collection and use of student information on behalf of parents when MEFTii's collection is for the use and benefit of the school and for an authorized educational purpose. MEFTii does not use information collected under school authorization for unrelated commercial purposes.

Information Sharing

• The school or district that authorized the service.
• Authorized users designated by the school or district.
• Service providers and subprocessors that assist MEFTii in providing, securing, hosting, supporting, or maintaining its services.
• Parties to whom disclosure is required by applicable law, subpoena, court order, or lawful governmental request.
• Parties where disclosure is reasonably necessary to protect the security, safety, rights, or property of MEFTii, its customers, users, or others.
• Parties involved in a corporate transaction such as a merger, acquisition, restructuring, or sale, subject to applicable contractual and legal requirements.

MEFTii does not permit service providers to use student information for their own unrelated commercial purposes.

Data Hosting and Access

MEFTii customer data is hosted using Amazon Web Services ("AWS") infrastructure located in the United States. Access to customer production data is restricted to authorized U.S.-based MEFTii employees when access is necessary to perform their responsibilities. MEFTii's offshore or non-U.S.-based application developers do not have access to customer production data.

Security

MEFTii uses administrative, technical, and organizational safeguards designed to protect information against unauthorized access, use, alteration, disclosure, or destruction. MEFTii has achieved HITRUST CSF® e1 Certification for its platform, demonstrating implementation of independently validated cybersecurity controls. No information system can be guaranteed to be completely secure. MEFTii continually evaluates and improves its security practices as technologies, risks, and requirements evolve.

Data Retention and Deletion

MEFTii retains customer information only for as long as reasonably necessary to provide authorized services and fulfill contractual, operational, security, and legal obligations. Following termination or expiration of a customer's services, customer information is retained and deleted in accordance with the applicable customer agreement and applicable law.

Parent and Student Requests

Because MEFTii generally processes student information on behalf of schools and districts, parents, guardians, and eligible students seeking access to, correction of, or deletion of education records should normally contact their school or district directly. MEFTii will cooperate with schools and districts in responding to appropriate requests as required by applicable law and contractual obligations.

Website Information and Cookies

When individuals visit meftii.com, MEFTii may automatically receive limited technical information such as IP address, browser type, device type, pages visited, referring pages, and similar information. MEFTii may use cookies or comparable technologies necessary to operate the website, understand website performance, maintain security, and improve the user experience. MEFTii does not use student education records for website advertising.

Changes to This Privacy Policy

MEFTii may update this Privacy Policy as its products, practices, technologies, or legal requirements change. When material changes are made, MEFTii will update the "Last Updated" date and provide additional notice when appropriate.
